Privacy Policy

1. Who we are

Zoobypet Tech Pvt. Ltd., India. Contact: support@zooby.in. For the purposes of India's Digital Personal Data Protection Act, 2023, the clinic that registers a pet is the data fiduciary for its patients' records and Zooby processes that data on the clinic's instructions. For accounts you create directly with us — clinic staff, suppliers, labs and pet parent logins — we are the data fiduciary.

2. What we collect

• Clinic and staff accounts. Name, work email, mobile number, role, clinic details including address, GSTIN and licence numbers.
• Pet parents. Name, mobile number, optional email and address, and the pets you register (name, species, breed, date of birth, photos).
• Clinical records entered by the clinic. Consultations, diagnoses, prescriptions, lab results, vaccinations, admissions, boarding.
• Billing. Invoices and payment status; card/UPI details are handled by Razorpay and never stored by Zooby.
• Messages. WhatsApp and email notifications we send on the clinic's behalf (reminders, invoices, OTPs) and their delivery status.
• Technical. IP address, device and browser type, pages visited, error logs, and cookies needed to keep you signed in.

3. Why we use it

To run the clinic's practice (appointments, records, reminders, billing); to send you the notifications your clinic enables; to verify your identity (OTP); to generate tax documents required by law (GST invoices, e-way bills, e-invoices); to keep the service secure and fix problems; and to improve the product using aggregated, de-identified usage data.

AI assistance. When a clinic uses Zooby's AI features, the pet's clinical summary is sent to an AI model provider to draft suggestions for the vet; the vet decides. We do not use your data to train third-party models.

4. Who we share it with

Only as needed to run the service: Meta (WhatsApp Business messages), email delivery providers, Razorpay (payments), ClearTax (GST e-way bills and e-invoices, when a clinic enables it), AI model providers (for the AI features above), our cloud hosting providers in India, and government tax systems when a clinic files. We do not sell personal data. We share with authorities when the law requires it.

5. Where it is stored and how long

Data is stored on servers in India. Clinical records are kept for as long as the clinic keeps its account and as required by veterinary and tax record-keeping rules (typically 8 years for tax documents). You can ask your clinic, or us, to delete data that is no longer required to be kept.

6. Your rights

Access, correction, erasure, withdrawal of consent for optional messages, and grievance redressal. Pet parents can manage reminder preferences in the pet parent app; write to support@zooby.in for anything else. We respond within 30 days. Our Grievance Officer can be reached at support@zooby.in (subject “Grievance”).

7. Security

Encryption in transit, encrypted storage of payment and integration credentials, role-based access inside clinics, audit logs of record changes, and regular backups.

8. Cookies

Only the cookies and local storage needed to keep you signed in and remember your preferences; no advertising cookies.

9. Children

Zooby is for clinics and adult pet parents; we do not knowingly collect data from children under 18 except as part of a pet's record entered by a parent or guardian.

10. Changes

We will post updates here with a new effective date; material changes are notified to clinics by email.
